Hiring Options for Term Before Admission

In some circumstances, units are able to provide financial support to incoming graduate students in the term before they start their graduate program. See the options below to help determine which option(s) may be applicable. 

If you are not sure which category is applicable, contact the Division of Graduate Studies (graduatestudies@uoregon.edu) with a description of the duties/activities.

Option 1: Hire as Student Hourly Employee

  • Requirements: 
    • Undergraduate-level work, or
    • Graduate-level work for which the total hours do not exceed (or come close to) the minimum FTE for a GE.
  • Procedures: No approval from the Division is needed. See HR’s Hiring Students webpage for more information. 

Option 2: Hire as Graduate Employee

  • Requirements: 
    • Must be graduate-level work above .25 FTE for the term.
    • Admission term must be changed to the term of the GE appointment and the student must register for a minimum of 1 credits (first term registration requirement). Note: the hiring unit will be charged for tuition, insurance, fees pursuant to the CBA.
  • Procedures: 
    • Admission Term Change: Follow steps outlined in the Admissions Handbook (linked on your Slate Homepage) to process as a (backwards) deferral. 
    • GE Hiring:

Option 3: Disburse Funds via Resource Aid Request (RAR)

  • Requirements: Only for pre-GE lab orientation. Cannot be work. Example activities include:
    • Reading and discussing articles
    • Participating in lab meetings
    • Attending presentations
    • Watching experiments
    • Learning how to use equipment
  • Procedures: Pay via RAR to student billing. Must note on RAR applicable summer term and note situation (i.e. “student is enrolled for fall 2026, please disburse summer 2026”)
