Graduate Employee: Onboarding Checklist

Use this checklist to guide your onboarding journey as a Graduate Employee (GE).


☐ Pre-Arrival

  • ☐ Claim your Duck ID, obtain your PAC and reset it in DuckWeb, access your UO email, and set up DUO
  • ☐ Review and accept your Notice of Appointment (sent via UO email)
  • ☐ Confirm your arrival and first day of work details with your supervisor
  • ☐ Register for a minimum of 9 graduate credits
    • ☐ Review Credit Limits and Full-Time Course Load policy

☐ First Day

  • ☐ Meet with your supervisor to confirm completion of onboarding/payroll forms, set up direct deposit in DuckWeb, and gain workspace access (keys, door codes, etc.)
    • ☐ Form I-9 (eligibility verification)
    • ☐ W-4 (tax withholding)
    • ☐ Direct deposit enrollment
    • ☐ Emergency contact information
    • ☐ Government-issued ID (for I-9 and UO ID card issuance)
  • ☐ Add emergency contacts and sign up for UO Alerts
    • ☐ Log into DuckWeb → Personal Information → Enter/Update Emergency Alert Phone(s)
  • ☐ Visit Erb Memorial Union to get your Flock card (UO ID)
  • ☐ Request work accommodations if necessary
    • ☐ Contact the Office of Equal Opportunity and Access / Workplace ADA
  • ☐ Sign up for a GTFF orientation meeting to discuss the GE health insurance plan
    • Note: Enrollment in benefits coverage is not automatic
  • ☐ Sign up for parking (optional)
    • ☐ Review transportation and parking options
  • ☐ Attend a Graduate Employee Orientation Session

  • ☐ Review campus digital systems
    • ☐ Internal site
    • ☐ DuckWeb
    • ☐ Email
    • ☐ Intranet
    • ☐ Contact IT phone help
    • ☐ Submit an IT request
  • ☐ Complete mandatory trainings
